From Broken Records to a Running University: How Zucol Built UMIS for Purnea University

When Purnea University decided to take its academic operations online, the requirements were all too familiar: online registration, digital records, faster processing, automated results and certificates. Altogether, a similar-sounding list every university management software vendor promises.

But this project was different. When Zucol Services came on board for the implementation of the new system, we knew listing the requirements was the easy part. The real challenge began with the question: what do you do when the underlying data is completely unreliable?

This is the story of the University Management & Information System (UMIS) developed by Zucol Services for Purnea University. The process involved making sense of the chaos of legacy records to design a robust application that now processes data across 15 programme families and more than a hundred modules in production.

The Key Challenge

Nowadays, every university management aims to introduce digitisation - from online logins, records, and attendance, to results and grievances. Purnea University was already reaching for the same. The real requirement was bridging the gap between vision and the actual reality.

What stood in the way of a successful transformation from a traditional setup to digitised operations was a ton of historical student data with errors running for years. And this ran across every program - UG before CBCS (Choice-Based Credit System), UG after CBCS, PG, BBA, BCA, CND, LLB, PLW, and so on. Course structures had changed mid-stream. Results had been computed under rules that were never documented in a single place. There was no single source of truth to build on. Moreover, none of it could be paused. About fifteen program families existed, each with its own course pattern, evaluation techniques and marksheet templates, and each of these still had live examinations, admissions and certifications to run.

Zucol concluded that a working university wouldn't come from adding more screens on top of broken data. It had to come from making the data trustworthy in the first place. The Zucol team understood the gravity of the situation and decided that the next step for Purnea University would be to build reliable data before building more digital processes that would rely on wrong data.

Zucol’s Starting Point: Reverse Engineering

Before designing any digital process, Zucol's team first tried to understand Purnea University's academic history beyond the paperwork. This meant tracing how every programme had evolved over time, including the transition from Pre-CBCS to CBCS (Choice-Based Credit System), semester and annual patterns, Honours and General streams, and courses shared across multiple programmes. The team also analysed how results had been evaluated over the years so that historical records could be recalculated accurately. Every student record was reviewed to identify missing, duplicate, or incorrect data. At the same time, the university's day-to-day academic processes were mapped, covering everything from student registration to final certification.

The takeaway was hard to avoid: this wasn't a data-cleanup job. Small fixes wouldn't hold. The academic records had to be reconstructed from the ground up.

So Zucol got to work - rebuilding the database entirely, piecing together the university's correct academic structure from decades of raw records, and moving every programme onto a normalized, validated system with a full history of every change. That rebuilt foundation is what UMIS stands on. Not a portal for entering more data, but the actual system of record the university now runs on - for every student, every exam, every result, every certificate.

The UMIS

With reliable data underneath, Zucol built UMIS as a single connected platform made up of four applications, all drawing from the same source.

The University Admin Portal handles academic setup, scheduling, evaluation, results, certificates, reporting and monitoring. This is also where the university's exam calendar comes to life - setting up exams across programmes and sessions, managing dates and paper codes, handling promotions, and pushing out syllabus updates and notices. Once exams are conducted, the same portal takes over marks entry across CIA, ESE and practicals, manages corrections and moderation, and produces pass-fail and tabulation reporting down to the institute level.

At the next level, the College or Institute Portal gives institutes their own logins, centre mapping, attendance and roll sheets, and a clean way to hand information back to the university - covering the pre-exam groundwork that every examination cycle depends on, from fee setup and online payments to roll-number generation and admit card issuance.

The Student Portal covers registration, form fill-up, online payments, admit cards, marksheets and grievances. On the marksheet side, this means 13 programme-specific formats, Tabulation Registers, and provisional, final and migration certificates, each one verifiable by QR code or barcode. And when something goes wrong, the same portal lets students file a grievance online, pay any associated fee, and track it through to a time-bound resolution - instead of it disappearing into an inbox somewhere.

Behind all three sits a shared backend that keeps everything synchronised.

On the technical side, UMIS is built on Django and Django REST Framework over MySQL, with JWT-secured APIs handling the heavier batch jobs in the background. Since no cloud infrastructure existed when the project began, Zucol first established the complete cloud environment, including AWS, Amazon RDS, and Amazon S3, creating the foundation on which the platform now operates. Sensitive records are logged with a full audit trail, while the portals themselves are built on Next.js and TypeScript. Altogether, the platform runs more than 100 operational modules in active daily use. 

Proof in Execution

The real test of UMIS wasn't the demo - it was whether the same rigour held up once the university actually ran on it, across 15 very different programme families, each with its own history. 

  • Postgraduate semesters went through a complete registration-to-results cycle, and when the university revised its course structure midway, UMIS absorbed the change without disrupting the calendar. 

  • UG CBCS - the toughest data set in the university, with courses shared across programmes and back-paper students carrying years-old records - had its faulty entries corrected and its pre-exam processes run successfully across three semesters, with marksheets already delivered. 

  • UG Pre-CBCS had its historic results recalculated from re-verified data and its stream-specific marksheet formats rebuilt from scratch, with the 2025–26 Special Examinations run end-to-end.

  • Across nine professional programmes, from BBA and BCA to LLB, B.Tech, MBA and MCA, legacy records were cleared and new admissions processed with full registration and certification.

That same rigour showed up at scale, too - UMIS has processed over 600k + OMR results in production, and rather than rejecting sheets with misfilled identification fields, a near-certainty at that volume, a dedicated reconciliation layer resolves them against verified student records instead. It's a small design decision, but it's the difference between a system that processes paperwork and one that delivers the result a student is owed.

The story started with a question: what do you do when the data underneath your systems can't be trusted? For Purnea University, the answer wasn't a better interface; it was rebuilding the foundation first, then building a platform that could carry the weight of a real university running on it, day after day, exam after exam.
